Frequently asked questions

Can we work entirely in English?
Absolutely. From proposal and quotation to on-site direction and event-day operation, we run everything in English — start to finish. No interpreter required in between.
We've never run anything in Japan. Can you handle it all?
Yes — zero local experience is no problem. We manage everything from planning to on-the-day operation. On top of that, we'll explain the "why" behind the Japanese way: business customs, cultural context, and what not to do. We're not just a translator — we localize your project, culture and all, as your interpreter for the Japanese market.
Our concept worked overseas. Will it land the same way in Japan?
Honestly — not as-is. Even a concept that succeeded abroad needs to be rebuilt for Japan when you're marketing to Japanese consumers. Our core belief: it isn't language that needs translating, but culture.
How do you localize our brand for Japanese audiences?
Japanese consumers have clear tendencies. They tend to avoid standing out or acting first, and their stated opinion often differs from their actual behavior — a culture that values group harmony and conformity. And rather than winning over one person, creating the sense that "everyone likes it" works far better (social proof, the bandwagon effect). This isn't guesswork: consumer-behavior research shows Japanese audiences strongly prefer not making waves and feel safest doing what the majority does, especially in uncertain situations. That's why broad, reassuring creative the crowd can embrace outperforms a sharp, single-target pitch here. We design on that premise.
Can you research and scout venues before we fly in?
Yes, we'll do it for you. We visit candidate venues in person and report back with photos, video, dimensions, foot-traffic flow, and the surrounding area — so you get an accurate picture without traveling. Because this involves on-site work and real costs, we send a quote first and begin once payment is confirmed. Credit card is also accepted.
Can you handle shipping and customs for equipment from overseas?
For large equipment, fixtures, and exhibition items, we work with a specialist freight forwarder. As a rule, it's smoothest if the shipping side (you) sends goods to a Japanese port or airport on a freight-and-insurance-included basis (CIF / CIP terms). Astburn then takes over import customs clearance, domestic transport, and venue load-in. If you prefer, we can handle everything from Japanese entry (customs) onward instead. Agreeing on trade terms (Incoterms) up front prevents trouble on the day.
Can you arrange visas for our overseas staff or talent?
We'll be straight with you — visas aren't something we can promise. Short stays for meetings, site visits, or supervising setup: many nationalities enter visa-free, with no special arrangement needed. Performing on stage, appearing in shoots, or any paid public appearance: an Entertainer visa is required, which needs inviting-party documents and a certified administrative scrivener (gyoseishoshi); for projects where Astburn can act as the inviting organization we can support the paperwork, but we can't guarantee issuance. Work visas for staff employed in Japan are, in principle, arranged on your side. Requirements vary a lot by project — tell us who is doing what, and for how many days, and we'll map out the steps together and refer a partner specialist where needed.
How is pricing decided?
Every project is quoted individually. Cost varies widely with scale, venue, duration, and the creative required, so we propose the optimal plan and price after hearing your needs.
How do we pay? Does an overseas entity work?
Payment is by bank transfer in Japanese yen to a Japanese bank account. Some items, such as venue scouting, can also be paid by credit card.
How much lead time do we need?
It depends on scale, but even for the smallest project we recommend allowing at least three months. Given venue booking, permits, and production, the earlier you start, the more options you have.
Have you worked with overseas brands before?
Yes, we have. For confidentiality we can't list client names here — but we're happy to walk you through specific cases in an online meeting. Just reach out.
